Executive Assistant (Part-Time to Start, Growth Opportunity)

Oceanside Motorsports – Oceanside, CA

Oceanside Motorsports has grown fast over the past few years, and we’re ready to bring on the right person to help us get even more organized and efficient. We’re looking for someone who’s sharp, proactive, and comfortable working in a fast-paced automotive business. If you are the type of person who sees what needs to be done and just gets it handled, you’ll fit in perfectly here.

This role starts at 8 hours per week with the opportunity to grow into a full-time position — and for the right person, eventually into a role on our executive team.

What You’ll Do:

You’ll work directly with ownership and leadership to keep our operations running smoothly. Responsibilities include:

  • Managing administrative tasks and making sure bills are paid on time.
  • Improving workflows and systems within Tekmetric and other software platforms.
  • Keeping our procedure manual updated and organized.
  • Designing and ordering printed materials (appointment cards, signage, etc.).
  • Setting up and managing new systems in Paychex, including PTO tracking.
  • Coordinating with our bookkeeper and accountant.
  • Planning company events and team activities.
  • Making travel arrangements for team training and conferences.
  • Assisting with general operational and organizational projects as we continue to grow.

This list will evolve — we’re looking for someone who’s ready to jump in, take ownership, and help shape future responsibilities.

What We’re Looking For:

Must-haves:

  • Strong experience with Gsuite , Google Sheets, Trello , and general computer/software skills.
  • Proven ability to self-learn — we don’t have the capacity to train from scratch, but we have plenty of resources for someone who can take initiative.
  • Excellent organization and follow-through.
  • Ability to work independently and stay ahead of deadlines.
  • Strong communication skills.
  • High level of professionalism and discretion.

Nice-to-haves (but not required):

  • Experience with Tekmetric, Paychex, Adobe/Canva, or other business software.
  • Experience supporting an operations team or business owner.
